Monday, November 2, 2009 by 5:00 p.m. (CST) - Deadline for regular registration and to qualify for payment plan.
Higher fees will apply after Monday, November 2, 2009 and on-site. Mailed registrations must be RECEIVED by Monday, November 2, 2009 to qualify for regular registration fees.
Friday, December 10, 2009 - Deadline for discounted housing rate.
Thursday, December 17, 2009 - Deadline for registration refunds (less processing fees).
Important Information
- Most educational sessions do not require tickets. Seating is on a first-come, first-served basis. Many optional sessions, activities and events will be ticketed and applicable tickets will be included in credentials on-site.
- Many pre-meeting workshops, PCMA Experientials, and Community Service Activities require additional fees; please indicate session/event choice and include fees.
- PCMA Registration is not responsible for faxes not received due to mechanical failure or circumstances beyond our control.
- All housing reservations must be made through the 2010 PCMA Housing Bureau.
- Reservations are processed on a first-come, first-served basis.
- Only one reservation allowed per form. Only one room allowed per registrant.
- You must register for the PCMA Annual Meeting prior to booking your hotel reservation. When you register for the meeting online, the housing reservation process follows the meeting registration.
- Questions should be directed to the PCMA Housing Bureau at 800.428.3035 (Toll-free U.S & Canada) or 514.228.3035 (International).
- Acknowledgements of reservation request will be sent after each reservation form is received/processed, as well as each time a reservation is modified/changed and/or cancelled. For online registration/housing, acknowledgement is immediate. For faxed/mailed forms, acknowledgements will be sent within 2 business days of completion of processing. Please review acknowledgements carefully for accuracy. If you do not receive an acknowledgement within 14 days of submission, please call the PCMA Housing Bureau at 800.428.3035 (Toll-free U.S & Canada) or 514.228.3035 (International).
- Regular reservations ONLY require a credit card number guarantee. Early bird 10% discount for professionals only requires a non-refundable first nights’ room and tax deposit.
- All hotel room rates are subject to applicable hotel taxes in effect at the time of check-in (currently 15% - subject to change without notice).
- PCMA discounted room rates are applicable January 7 - 16, 2010, subject to availability.
- A portion of the room rate is used to offset the expense of housing services.
Change/Cancellation/Refund Policy
- Attendee replacements by another PCMA Member who is a business colleague or co-worker will be accepted; a $50 USD processing fee will apply to all requests until December 17, 2009 by 5:00 p.m. CST. A $75 USD processing fee will apply to all requests after this date and on-site. Attendee replacement must complete the full registration and housing forms with written request by the replaced attendee.
- Cancellation of registration must be submitted in writing via e-mail and must be dated on or before 5:00 p.m. CST on December 17, 2009 to receive a refund less a $125 USD registration cancellation processing fee. No refunds will be granted after December 17, 2009. Pre-meeting workshops and optional ticketed sessions purchased are subject to a $25 USD (each) cancellation processing fee. Student, Faculty and Guest cancellations are subject to a $50 USD cancellation processing fee. There are no refunds for charitable events, contributions and CIC Hall of Leaders Gala Dinner. After December 17, 2009 at 5:00 p.m., CST no refunds will be granted. No refunds for no-shows. Note to ACOM one-day registrants: Due to the discounted registration fee, if cancellation occurs at any time, no refund will be granted to ACOM registrants attending one day of the PCMA Annual Meeting.
Full payment must accompany your registration form. Credit card payment must be included for online and faxed registrations. Check payment will only be accepted with mailed forms. Registration fees will be shown on credit card statements as PCMA 2010 Annual Meeting. Checks for registration fees should be made payable to PCMA. Checks will be processed electronically. If you do not want your check converted electronically, use the credit card option. - Cancellation of registration via the payment plan must be submitted in writing via e-mail and must be dated on or before 5:00 p.m. CST on December 17, 2009 to receive a refund less a $125 USD registration cancellation processing fee. After December 17, 2009 at 5:00 p.m., no refunds will be granted.
- Hotel reservation changes and/or cancellations to another hotel within the PCMA room block will be accepted until Monday, December 28, 2009 by accessing your registration/housing record on the website or via the PCMA Housing Bureau in writing via e-mail at PCMA@Laser-Registration.com. Cancellations without rebooking in the PCMA hotel block will be assessed a $25 USD processing fee. Changes and/or cancellations and rebooking of a reservation will be accepted by the hotels beginning Tuesday, December 29 and only based on availability.
- Cancellations for all PCMA participating hotels must be received a minimum of 72 hours prior to arrival. A first night room and tax non refundable processing fee may be automatically charged to the credit card on file by the hotel for cancellations within 72 hours of arrival and no shows.
Payment
Full payment must accompany your registration form. Credit card payment must be included for online and faxed registrations. Check payment will only be accepted with mailed forms. Registration fees will be shown on credit card statements as PCMA 2010 Annual Meeting. Checks for registration fees should be made payable to PCMA. One check may be used to include registration fees and member fees and must be accompanied by both registration and housing forms.
For the 2010 PCMA Annual Meeting, a payment plan is available for your registration fee only for those registering prior to Thursday, December 10; the payment plan will not be available after this date. By selecting the payment plan, you agree to a transaction fee of $10 USD. Your first credit card payment of 50% of the attendee registration fee only balance is due at time of registration and the second payment of the balance will be charged on Monday, January 4, 2010. This offer is only available for credit card payments and credit card must be valid through January 2010. Complete payment for any applicable guest registration fee, pre-meeting workshops, optional ticketed sessions, charitable event tickets and CIC table purchases will be due at time of registration and are not part of the payment plan.

Badges
Attendees registering in advance may pick up badge and registration materials at the Advance Registration desk at the convention center during hours indicated above for On-Site Registration. Please note that photo ID will be required to pick up badges/materials. Students must show valid student identification in order to pick up badges/materials if registered at the student rate. Attendees will not be allowed to pick up other attendee badges/materials.
